Privacy Policy

This policy explains what information Common Ground Solutions LLC (“Common Ground Solutions,” “we,” “us”) collects through common-ground.solutions (the “website”), how we use it, and the choices you have. It covers this website only. Data that an association stores in the Grounded platform is governed by that association’s written agreement with us, not by this policy.
Information we collect
Information you give us. When you submit a consultation request, we collect what you enter: your name, email address, association name and type, approximate number of units, the service you are interested in, the question you describe, whether you are authorized to speak for the board, and whether you would like to receive our quarterly governance note. If you email or call us, we receive your contact details and whatever you choose to tell us.
Booking a call. If you book a call, you do so through Google Calendar’s appointment booking page, which collects the details you enter there. Google’s handling of that information is governed by Google’s privacy policy.
Technical information. Like most websites, our hosting provider automatically records basic technical information when you visit, such as your IP address, browser type, the pages you request and the date and time. We do not use advertising cookies, and we do not use analytics or tracking tools that follow you across other websites.
How we use information
We use the information we collect to respond to your request, schedule and hold consultations, prepare proposals, send the quarterly governance note if you asked for it, keep records of our business communications, keep the website secure and working, and meet our legal obligations.
We do not sell your personal information, and we do not share it for advertising.
Service providers
We share information only with the service providers that help us run the website and our business, and only as needed for them to provide their services to us:
- Netlify hosts the website and receives consultation form submissions.
- Google provides our email and the calendar booking page.
- Google Fonts supplies the typefaces the website uses. When a page loads, your browser requests the fonts from Google, which receives your IP address and browser details.
- unpkg.com, a public delivery network for open-source code, supplies the icon library the pages use. When a page loads, it receives your IP address and browser details.
We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or reorganization of our business, in which case this policy will continue to apply.
How long we keep information
We keep consultation requests and related correspondence for as long as needed to respond and to maintain business records, generally no longer than three years after our last contact unless an engagement or a legal obligation requires longer. You may unsubscribe from the quarterly governance note at any time using the link in each message or by contacting us.
Your choices and rights
You may ask us to tell you what personal information we hold about you, to correct it, or to delete it. Email slevin@common-ground.solutions or call (703) 239-4765. We will respond within a reasonable time and may need to verify your identity first. Depending on where you live, you may have additional rights under state privacy laws; we will honor requests consistent with the law that applies.
Security
We use reasonable administrative and technical safeguards to protect the information we receive. No website or email system is completely secure, so please do not send sensitive association records, financial account numbers or owner personal data through the website form.
Children
This website is intended for adults involved in the governance or management of community associations. We do not knowingly collect information from children under 13.
Links to other websites
The website links to other sites, such as LinkedIn and Google Calendar. Their privacy practices are governed by their own policies.
Changes to this policy
We may update this policy from time to time. The effective date above shows when it last changed.
